Position Summary

The Accounts Receivable Clerk II is responsible for managing invoicing, billing, credit processing, and account adjustment activities across multiple ERP systems (Made2Manage, IQMS, and QAD). This role supports daily invoice generation and submission processes while ensuring accuracy, compliance, and timely billing. The specialist is responsible for processing customer credits, handling invoice adjustments, supporting customer portal invoicing requirements, and maintaining accurate financial records related to invoicing and receivables activities. This position also supports general portfolio management, account follow-up, and escalation activities while collaborating with internal departments to resolve billing discrepancies and customer inquiries. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple priorities within a fast-paced Accounts Receivable environment. This position also provides backup support for cash application responsibilities when needed to ensure departmental continuity.

Key Responsibilities

  • Process customer invoicing, billing, and credit activities across M2M, IQMS, and QAD ERP systems.
  • Manage invoice submissions, intercompany invoicing, customer credits, and account adjustments accurately and timely.
  • Research and resolve billing discrepancies, deductions, open items, and customer invoicing issues.
  • Process RMA credits, supplier refunds, miscellaneous credits, and customer account adjustments as needed.
  • Support customer invoicing through external portals and maintain accurate financial documentation.
  • Coordinate with internal departments to resolve customer billing inquiries and support account resolution efforts.
  • Assist with portfolio management, collections follow-up, and escalation activities as assigned.
  • Provide backup support for cash application responsibilities and other AR functions during absences or high-volume periods.

Must Have

  • 2-5 years of accounts receivable (AR) experience.
  • High school diploma or equivalent required; Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Ability to process and follow up on time sensitive items.
  • Ability to prioritize and multi-task in a fast-paced environment.
  • Ability to handle confidential information in a discreet, professional manner.
  • Eye for detail, accuracy is imperative.
  • Able to meet deadlines.
  • Effective communication skills, both verbal and written, with the ability to interact and collaborate with cross-functional teams.
  • Must be able to read, write and speak English level B2 or higher.
  • Ability to be an effective team member and display initiative.
  • Proficient with Microsoft 365 including Outlook, Teams, Word, Excel and Power BI.
  • ERP software experience: IQMS, QAD and Made2Manage.
